How a Staff or Airport Shuttle Booking Works

A plain walkthrough of booking a staff or airport shuttle in Pretoria: what to tell the operator, what a quote should include, and what to confirm before the day.

Travellers with luggage walking through an airport terminal

Whether you are arranging an airport shuttle in Pretoria for a visiting director or a regular staff shuttle for a shift, the booking process is much the same. The more clearly you describe the trip at the start, the fewer surprises you will have on the day. Here is how a booking usually works, step by step.

Step 1: Describe the trip

Operators can only quote accurately if they know what you need. Have these details ready.

  • Date and time. For an airport transfer, give the flight number and arrival or departure time rather than only a pick-up time, so the operator can plan around delays.
  • Pick-up point(s) and destination. Include full addresses, building names and any gate or security details. If there are several stops, list them in order.
  • Number of passengers and luggage. This decides which vehicle is suitable. Mention large or awkward items, wheelchairs or child seats.
  • One-way, return or recurring. A staff shuttle for a shift is usually a repeating route with fixed times, which is quoted differently from a once-off trip.
  • A contact on the day. Give a name and mobile number for the passenger or organiser.

Step 2: Get a clear quote

A good quote should be easy to read and should tell you what you are paying for. Check that it states:

  • the route, date and times it covers
  • the vehicle type and capacity
  • the total price, and whether it is per trip, per passenger or per month
  • what is included or extra, for example waiting time, extra stops, tolls or parking
  • the payment terms and the cancellation terms

If something is missing, ask. It is much easier to clarify a quote than to dispute an invoice.

Step 3: Confirm in writing

Once you accept, ask for a written confirmation by email or WhatsApp that repeats the key details: date, times, addresses, passenger count, vehicle and price. Read it carefully. A wrong address or time is far easier to correct now than at 05:00 on the day.

For recurring staff shuttles, agree who can add or remove passengers, how much notice is needed for changes, and how public holidays and shutdown periods are handled.

Step 4: Prepare for the day

A few small steps make the trip run smoothly.

  • Share the driver's and operator's contact numbers with the passenger or group.
  • For airport pick-ups, agree where the driver will meet the passenger and how they will recognise each other.
  • Allow generous time for Gauteng traffic, especially at peak hours and around the airport.
  • Tell the operator straight away if the flight time, passenger count or pick-up point changes.

Step 5: After the trip

Keep the confirmation and invoice together. If something went wrong, such as a late arrival or a billing difference, raise it promptly and in writing. A reputable operator wants to hear about it.

Questions worth asking any shuttle operator

  • Are the vehicles and drivers licensed and permitted for carrying passengers, and can you see the documents?
  • What is the plan if a vehicle breaks down or a driver is unavailable?
  • How is a delayed flight handled, and is there any extra charge for waiting?
  • How do cancellations and changes work, and how close to the trip can you make them?
