Planning Group Transport for Events, Weddings and Day Trips

Good group transport lets your guests relax and arrive together. Poor planning leaves people stranded. This guide covers the basics.

Start with the headcount

Work out how many people need transport and whether it is a one-way or return trip. Tell the operator the final number as soon as you have it, and the date you will confirm changes.

Map the journey

• List every pick-up point and the final destination with exact addresses.
• Check the distance and the likely traffic at the time you are travelling.
• For events, ask the venue where vehicles may stop and wait, and how to access the entrance.

Build a schedule with room to spare

Write down a timeline: first pick-up, last pick-up, arrival, and the return. Add buffer time for late guests, as groups never leave exactly on time. For weddings and formal events, plan to arrive before the guests who matter most to the start.

Think about comfort and access

• Ask about seatbelts, air conditioning and luggage space.
• Tell the operator about elderly guests, children or anyone who needs step-free access.
• For long days, agree on comfort stops.

Confirm one point of contact

Give the operator a single coordinator and give guests a clear contact number. Share the departure time and pick-up points with everyone a few days before, and again the day before.

Safety and responsibility

• Choose an operator with proper licences and drivers with valid passenger permits.
• Agree what happens in case of a vehicle problem on the day.

Pricing and agreement

Ask whether the quote is per trip, per hour or per kilometre, what waiting time costs and what the cancellation terms are. Get the agreement in writing.
