Absences, Changes and School Holidays: How to Handle Them With Your Transport Operator

Most school transport problems come from a message that arrived too late. Here is how to communicate changes clearly.

Scholar transport runs on a fixed plan, which means a small change on your side can ripple through the whole route. A little structure keeps everyone informed.

Agree the channel on day one

Ask your operator how and when to report changes, and write it down.

  • Which number do you message, and is it a call, SMS or WhatsApp?
  • Is there a cut-off time for same-day messages, such as the evening before or a set time in the morning?
  • Who replies if the first person is unavailable?

Absences

If your child will not be travelling, tell the operator as early as you can, ideally the evening before. A driver waiting at the wrong stop costs time for every other learner on the route.

  • Mention whether it is for one day, several days or the afternoon only.
  • For illness lasting more than a day, update the operator on the expected return.
  • Ask how absences affect the monthly fee, so there are no surprises.

Early collections and different pick-ups

  • Give the operator written notice with the date, the person collecting and a contact number.
  • Never rely on your child to pass on a change. Drivers should only release a child to an agreed adult.
  • For a one-off different address, confirm the new address and time before the day.

School holidays, exams and closures

Schools change their calendars, and exam periods often bring different finishing times.

  • Share the school's term dates and exam timetable when you receive them.
  • Ask how public holidays, strike days and school closures are handled.
  • Ask whether the fee changes in short or irregular months.

Moving house or stopping the service

Most operators ask for notice before a child leaves the route. Check the notice period in your agreement, and give it in writing so there is a record.

Keep a simple routine

A short, polite message with the child's name, date and detail is all an operator needs. The clearer and earlier it is, the smoother the route runs.
